How to match film notes to your developed scans

You logged every frame carefully. Weeks later a folder of scans lands on your desktop — and now you have to work out which note belongs to which image. Get the connection right and your notes pay off; get it wrong and they're just trivia. Here's how to line them up cleanly, every time.

The whole trick is frame order. Notes are in shooting order; scans come back in frame order; if those two sequences agree, matching is just counting. Everything below protects that alignment.

Why matching goes wrong

Three things break the link between a note and its image:

  • The roll loses its identity. If you can't tell which developed strip is which roll, the notes have nothing to attach to.
  • Frame numbers drift. Labs and scanners number frames differently — some start at 0, some at 1, some print "00" and "0" leader frames.
  • Order gets shuffled. Scanning strips out of sequence, or sorting a folder by filename instead of capture order, scrambles everything.

Keep the roll identifiable

Matching starts before development. Tape the roll's name to the canister when you finish it, so the developed negatives can be traced back to the right log. If you send several rolls at once, this is the only thing standing between you and a pile of interchangeable negative strips. (More on this in keeping track of film rolls.)

Anchor frame 1

The single most useful habit: know what your first real frame is. On many cameras the first frame or two is fogged leader; your "frame 1" in the log should be the first image you actually composed. When the scans arrive, find that same first image and count forward from it. If the lab labels it "frame 2," you now know the offset for the whole roll.

A reliable matching pass

Identify the roll

Match the developed strip to its log using the canister label or the roll name.

Find frame 1 in the scans

Locate the first composed image and confirm it matches your log's frame 1.

Count down the roll together

Walk the scans and the notes in parallel, frame by frame, applying any offset you found.

Rename or tag as you go

Bake the frame number into each scan's filename (e.g. Portra-CityWalk-12.jpg) so the link survives sorting and sharing.

Use a reference image as a tie-breaker

When two frames look similar and you're unsure which note is which, a quick phone snap taken at the moment of shooting is the fastest way to reconnect a frame number to what you actually pointed the camera at. It turns an ambiguous guess into a certain match.
